Overview

The Tax Documentation Details drawer gives you a detailed view of a single documentation record within the Tax Documentation page. It is intended to help you review the submitted documentation, understand the current status of that record, evaluate any open issues or warnings, and take follow-up action when needed.

This drawer is especially useful when you need to determine why a document is flagged, confirm whether a record needs to be updated, review historical submissions, or decide whether a resubmission or issue resolution action is appropriate.

 

Locating the Tax Documentation Details Drawer

To open the Tax Documentation Details drawer, select the “View Details” icon from the right of an individual row from the Tax Documentation table. Each row represents a single document record for an account owner. If the same account owner has multiple document types on file, each document type will appear as its own row in the table.

 

 

Once the row is selected, the drawer opens on the right to show additional record-level details and the actions available for that specific document.

 


What You Can Review in the Drawer

The Tax Documentation Details drawer includes several sections that help you understand the current documentation record.

Submission data

The drawer includes the submission data associated with the selected document. This is the core information submitted for that specific record and is helpful when validating what was originally provided or comparing the document against the current account owner information on file.

Treaty claim

When applicable, the drawer includes treaty claim details. This section is relevant for records where treaty benefits were claimed and can help explain why a document may have a treaty-related warning, such as a Treaty Country Mismatch.

Open issues

The drawer includes any open issues associated with the selected document. This is one of the most important sections in the drawer, as it helps explain what is preventing a document from being treated as acceptable or what may require additional review.

Quick note, Taxbit distinguishes between issues and warnings:

  • An issue means the submitted document is invalid due to missing, conflicting, or non-compliant information.
  • A warning does not invalidate the document on its own, but it flags a condition that may require further review depending on your compliance process or risk tolerance.

Examples of issues and warnings that may be relevant when reviewing a document include US Indicia, Treaty Country Mismatch, PO Box / Care-of, Withholding Documentation, and Incomplete Treaty Claim.

Submission history

The drawer includes submission history for the selected document. This allows you to review previous submissions tied to that documentation record and is especially helpful when determining whether a resubmission corrected a prior issue or when you need to download a PDF from a historical submission.

 

Available Actions

The Tax Documentation Details drawer includes row-level actions that apply to the selected documentation record.

Resolve issues

You can resolve curable issues directly from the drawer. This action is intended for situations where the issue can be marked resolved based on updated review or supporting documentation.

Taxbit documentation notes that some documentation issues are resolved by collecting updated or curing documentation, while others require a new submission instead. Because of that, this action should be used only when the issue is actually curable and you have completed the necessary review.

 

 

Reopen issues

You can reopen issues that were previously resolved. This is helpful if a record was resolved in error, if follow-up review shows that the issue still exists, or if new information suggests the documentation should no longer be considered resolved.

 

 

Request resubmission

You can request resubmission for the selected document record. This is useful when the existing document is no longer acceptable and a new submission is needed.

Taxbit guidance indicates that some issues are best addressed by collecting a new form, including examples such as expired forms, US permanent address, and certain change in circumstances scenarios.

 

 

Revoke resubmission

You can revoke a previously requested resubmission from the drawer. This is helpful if a request was sent in error, if the request is no longer needed, or if the issue has been otherwise addressed.

 

 

Download PDF

You can download a PDF for any historical submission tied to that record from the drawer. This is useful when you need to retain a copy for review, audit support, or internal recordkeeping.

 


Action Limitations and Important Notes

Please note:

  • The Tax Manager role can take actions such as resolving issues and downloading documentation from the page. Other roles cannot take those actions.
  • The outline specifically describes resolve and reopen as actions for curable issues, which means not every issue will necessarily be eligible for direct resolution from the drawer.
  • The Request New Documentation action will update the needs_resubmission field to TRUE for the selected tax document(s). Please refer to the following guide for this API endpoint for more information: Retrieve Tax Documentation Status
  • Note that DPS and some externally collected documents do not support PDF download.
