QA Package

The QA Package is a downloadable zip that bundles draft tax forms and the underlying data used to generate them, allowing you to review and validate the account information before generating the forms associated with a specific form type and tax year. It is designed to let Tax Managers preview what will go on forms (including originals, corrections, and voids), and validate account and transaction-level details before generating official forms. 

Please note: You can prepare a QA package of 1 to 100 accounts at a time. If the number of accounts exceeds this, multiple packages can be downloaded.

When to Use the QA Package

Use the QA Package when you want to review tax form outputs before generating official forms. It is intended to help Tax Managers preview what will appear on draft forms and review the account and transaction-level data that was ultimately used to determine the final output for a specific form type and tax year.

The QA Package is especially helpful to:

  • Review draft forms before generation, including cases involving original forms, corrections, or voids.
  • Compare an existing generated form to a new draft to understand what changed before creating a revision, correction, or void form.
  • Validate the transaction, form data, or account owner data that was used to populate the form before moving forward with generation.
  • Make updates and re-ingest corrected data, since the QA package includes Taxbit’s Account Owner, Form Data, and Transactions templates that can simply be edited and ingested to update.

 

What’s Included in the QA Package?

The following items will be delivered via a ZIP archive when downloaded:

Main Folder

  • The Validation Report CSV identifies each account selected in the QA package with its current form eligibility and form statuses. It indicates whether the account appears in the rest of the package files and includes details about the status of the draft forms (original or correction).
  • The Read Me file provides additional details.

Account Specific Deliverables Folder

  •  A Draft PDF, if applicable, of the tax form that would be generated if you were to proceed with form generation, which includes a watermark. If a form is not required for an Account (e.g., the Account has a status of Ineligible, or the form has already been generated), a draft form will not be generated.
  • A PDF of the current tax form, if one has been generated. This is particularly helpful in instances where a new revision, or a correction/void form is required to be generated, as it enables you to identify what has changed, and confirm the appropriate update has been made.
  • The Transactions CSV, for the account, displays the transactions used to calculate the amounts that would currently be populated on the tax form. It is populated using Taxbit’s Transaction ingestion template. To the extent you ingested Form Data, or there are no transactions on file for an account, a blank CSV will be generated.

Summary Data Folder

  • The Form Data CSV, which displays all of the data that would currently be populated on a tax form for each relevant account. It is populated using Taxbit’s Form Data ingestion template. Note that if this were to be ingested, any Transaction data ingested would be ignored for those accounts.
  • The Account Owner CSV for all of the data that would be populated on a tax form for each relevant account, populated using Taxbit’s Account Owner ingestion template.

Please note: To make the update of information as simple as possible, the QA Package was designed to leverage Taxbit’s Account Owner, Form Data, and Transactions template. This enables our customers to easily make any required updates to the information in the file and re-ingest the file directly to the Taxbit Dashboard.
